When you run a software business alone, your desk is the entire company. It is the engineering department, the sales office, the recording studio, the support desk and the boardroom, all in about two square metres. The gear will never write the code for you, but bad gear taxes you every single day in small ways: a screen you squint at, a webcam that makes clients wonder if you are calling from a cave, a machine that turns every Docker build into a tea break.

This post walks through my exact setup and the thinking behind it, then lays out three complete builds at different budgets: a $700 starter office, the roughly $1,300 setup I actually run, and an all-out $3,000 to $5,000 build for when the business is paying for its own upgrades. Prices are in US dollars with rough Kenyan shilling equivalents, because that is how most of this hardware is priced here anyway.

The Philosophy: A Laptop That Lives Like a Desktop

The heart of my office is not a tower under the desk. It is an HP Victus 15 that sits on the desk like a desktop, permanently plugged into its charger and a docking station, driving two external monitors. Ninety-five percent of the time it behaves exactly like a desktop: I sit down, tap a key, and three screens light up.

The other five percent is the whole point. Two cables come out, the laptop goes into a backpack, and the entire business leaves the house with me. Client demo across town? The office comes along. Power outage in the estate? A laptop is a computer with a built-in UPS; I keep working while the fridge sulks. Travelling for a week? Same machine, same projects, same browser tabs.

For a solo founder this is not a lifestyle preference, it is business continuity. There is no IT department and no spare machine sitting in a cupboard. If your one computer is a tower and the power goes, or you need to be somewhere else, the company is closed for the day. A laptop-first setup means the company is wherever you open the lid.

One practical detail people always ask about: why is the laptop plugged into both a charger and a dock? Because gaming-class laptops like the Victus draw more power than most docks can deliver. USB-C Power Delivery tops out around 100 watts on typical docks, and a laptop with a discrete GPU wants more than that under load. So the barrel charger feeds the machine, and the dock handles everything else: both monitors, the USB peripherals and wired internet. It is one extra cable to unplug, and it means the GPU never throttles because the dock could not keep up.

My Exact Setup, Piece by Piece

Here is everything on the desk and why it earned its spot.

The machine: HP Victus 15

A mid-range gaming laptop is a quietly excellent developer machine. Mine runs a modern Intel Core i5, 16GB of RAM, a 512GB NVMe SSD and an RTX-class NVIDIA GPU, behind a 15.6 inch 144Hz display. For Laravel work, Docker containers, a heavy IDE and forty browser tabs, that configuration does not blink. The GPU is honestly optional for web development, but it accelerates video editing for the YouTube channel and it earns its keep after hours; more on the controllers later.

The honest trade-offs: the fans exist and you will hear them under load, the battery is average, and it weighs more than an ultrabook. In exchange it costs roughly a third of a MacBook Pro and takes a RAM upgrade to 32GB with one screwdriver.

The monitors: two HP ProDisplay P221s

These are the least glamorous items on the desk and possibly the smartest purchase. The ProDisplay P221 is a 21.5 inch, 1080p ex-office monitor with DisplayPort and VGA inputs. Nairobi's refurbished market is full of them, usually ex-UK corporate stock, at around KES 6,000 to 8,000 each. That is two matching monitors for about $100 total.

Matching matters more than size. Two identical panels sit at the same height, render text the same way and show colours the same way, so your eyes never recalibrate when they cross the bezel. At 21.5 inches, 1080p is perfectly crisp for code. I would take two boring, matching 1080p panels over one fancy monitor next to one random one every single time.

The dock

A basic docking station is the glue. Mine takes one cable from the laptop and fans out to both monitors, the keyboard and mouse receiver, the audio interface and Ethernet. One thing to check before buying: the P221 wants DisplayPort or VGA, so make sure your dock's outputs match your monitors' inputs, or budget a few dollars for adapters.

The camera: Canon EOS 250D

This is the item that makes people on client calls ask what webcam I use. The 250D is one of the lightest DSLRs Canon ever made, with a 24 megapixel APS-C sensor and a flip screen. It does double duty: it records videos for my channel, and between shoots it sits on a small tripod behind the monitors as the best webcam a Google Meet has ever seen.

Two tips if you go this route. Canon's EOS Webcam Utility turns it into a webcam over a plain USB cable for free, no capture card needed. And buy a dummy battery, the kind that plugs into the wall, so the camera never dies forty minutes into a recording.

The lighting: two rectangular desk-mounted panels

Two slim LED panels clamp to the back edge of the desk on small arms, one on each side, angled in at roughly 45 degrees. They exist for video first: with the panels on, my face looks the same at 9 a.m. and at 11 p.m., so I can record or take calls whenever the schedule allows instead of chasing daylight. The side effect I did not expect is comfort. Working against bright screens in a dark room strains your eyes; soft light from the panels evens everything out.

The audio: a condenser microphone into an audio interface

Here is a rule worth tattooing somewhere: people forgive average video, they do not forgive bad audio. A large-diaphragm condenser mic running into a small USB audio interface on the desk is a massive jump over any laptop mic and most webcam mics.

Going the XLR-plus-interface route instead of a USB mic gives you a real gain knob, zero-latency monitoring through headphones, and an upgrade path, since the interface stays even when the mic changes. The one warning about condensers is that they hear everything, including the neighbour's generator, so I record when the estate is quiet.

The rest of the desk

  • A Logitech wireless keyboard and mouse combo. Boring, quiet, reliable, one dongle in the dock. Peripherals are a place to save money, not spend it.
  • A full-length deskmat under everything. It protects the desk, gives the mouse a consistent surface, is kind to wrists, and visually ties the whole setup together.
  • A graphics tablet. I use it to annotate code walkthroughs on video, sketch system architecture while thinking, and sign PDFs without printing anything.
  • Notebooks and a pen. Thinking still happens on paper; there is always one open next to the keyboard.
  • Three Xbox controllers. Officially they are for testing gamepad input. Unofficially, the same GPU that renders video timelines also runs games very well, and three controllers exist because friends exist. I have stopped trying to explain this line item.

Dual Monitors, Triple Monitors, or Just One?

Since I get asked about this constantly, here is how I think about screen count.

A single screen is genuinely fine if you are disciplined with virtual desktops or a tiling window manager, and it is the cheapest, least distracting option. Plenty of excellent engineers ship from one laptop screen. If the budget is tight, spend on the machine first and add screens later.

Dual monitors is the sweet spot for most developers and the setup I recommend by default. The pattern is simple: code lives on one screen, everything else lives on the other. Editor on the left, running app and browser on the right. Documentation on one side, implementation on the other. On calls, the meeting sits on one screen while your notes and the codebase sit on the other, so you are never alt-tabbing while a client is talking to you. Per shilling spent, it is the single biggest productivity jump in this entire post.

Triple monitors earns its place in specific situations rather than as a default. It makes sense when you genuinely need to watch something while you build: the code, the running app, and the logs or dashboards all visible at once. It makes sense for DevOps-heavy work with monitoring on a dedicated screen, and for streaming or recording, where OBS and chat live on the third display. The costs are real too: more GPU outputs, more desk depth, more neck travel, and more places for distractions to live.

Here is the part people miss: a laptop with two external monitors is secretly a triple-screen setup. The laptop's own display is right there. Mine holds the third-tier things, Slack and WhatsApp Web, Spotify, and a terminal tailing logs, while the two big screens hold the real work. You get the triple-monitor workflow without buying a third monitor.

One last variation worth trying: rotate one external monitor to vertical. Long files, logs and pull requests read beautifully on a portrait screen.

Laptop Specs That Actually Matter for a Developer

Marketing sheets are noisy, so here is the short list that determines whether a machine is pleasant to develop on, at any budget:

  • RAM: 16GB is the floor, 32GB is comfortable. The IDE, the browser and Docker will eat whatever you give them, in that order.
  • CPU: a modern 6 to 8 core processor. This is what compile times, test suites and Docker builds feel like.
  • Storage: an NVMe SSD, 512GB minimum. The difference between NVMe and an old SATA drive is the difference between opening a project and going to make tea.
  • GPU: optional for web and backend work; integrated graphics are fine. You want a discrete GPU if you edit video, do game development, run local AI models, or intend to play anything after hours.
  • Ports: at least one USB-C port that carries video, or a sensible HDMI-plus-USB cluster, so a dock can do its job. Wired Ethernet through the dock is more stable than Wi-Fi for calls and uploads.

Everything else, RGB included, is decoration.

Build One: The $700 Starter Office (about KES 90,000)

The strategy at this level is one word: refurbished. Ex-corporate business laptops are the best value in computing, and Nairobi's refurb shops are full of them.

That total leaves a small buffer, and the result is a genuinely professional two-screen office. What you are postponing, not skipping: the DSLR, the XLR audio chain, the graphics tablet and the gaming GPU. A ThinkPad with 16GB of RAM will run Laravel, Node, Docker and VS Code without complaint; it just will not edit 4K video or play anything demanding.

The one thing I would not do at this budget is buy a new low-end laptop for the same money. A $380 new machine today means 8GB of soldered RAM and a slow drive. A $380 refurbished business machine means yesterday's corporate flagship. Take the flagship.

Build Two: The $1,300 Working Office (about KES 170,000). This Is Mine

This is my current setup, priced the way I would buy it again today.

Two honest notes on that total. First, I did not buy this in one receipt; it accumulated over months as the business paid for it, which is exactly how I recommend doing it. Second, the camera is the swing item. Drop it and use your phone until video becomes a real part of your business, and the build lands almost exactly in the $1,150 to $1,300 range. The controllers are not in the table because no accountant on earth will let me call them office equipment.

What this tier buys over the starter build: a machine with a GPU that edits video and runs modern games, two matching monitors as standard, real lighting, a proper audio chain, and a camera that makes clients assume you are a bigger operation than you are. For a one-person software business that also creates content, this is the sweet spot. I have shipped client platforms, run payroll systems and recorded an entire channel from this desk.

Build Three: The $3,000 to $5,000 All-Out Office (about KES 390,000 to 650,000)

At this level you are no longer buying speed for the code; almost any machine above $1,000 compiles fast enough. You are buying comfort, reliability, longevity and hours of your spine's future. There are two sensible paths for the machine.

Path A is the premium laptop: a MacBook Pro 14 with an M4 Pro chip and at least 24GB of unified memory, or a Windows workstation-class machine such as a ThinkPad P series. One device, desktop power, still grab-and-go. Budget $2,000 to $2,600.

Path B is the split: a proper desktop (Ryzen 7 or 9, 32GB to 64GB of RAM, a serious GPU, 2TB of NVMe storage) at around $1,600 to $1,800, plus a $350 refurbished ThinkPad for mobility. You get more raw power per dollar and a backup machine, at the cost of managing two computers.

Then the environment, which is where this tier really earns its money:

Notice what the money goes to. The chair and the desk are the real upgrades here, because after five years of solo work your back will remember every cheap chair you ever sat in. The UPS matters in Kenya for one specific reason: your laptop survives a blackout, but your monitors, router and dock do not, and a small inverter keeps the whole office alive through the average outage. The 1440p monitors are the point where extra resolution genuinely changes how much code you can see at once.

What to Upgrade First

If you are building gradually, which is what I did and what I recommend, this is the order that pays off:

  1. The machine. It is the business; everything else is furniture.
  2. One good external monitor, then its matching twin.
  3. The chair. Yes, before the camera. Your back is a founder too.
  4. Lighting. Cheap panels transform both your video and your eye comfort.
  5. Audio. An interface and a condenser, or at minimum a good USB mic.
  6. The camera, last, and only when video is actually part of how you earn.

Final Thoughts

The desk does not ship products; you do. I built client platforms on far less than my current setup, and the setup only grew when the work paid for it. That is the whole model: start at whatever tier your budget allows, let the business buy its own upgrades, and spend where the friction is instead of where the marketing is.
