Every employer in Kenya has to deal with the P9A form, and every January a wave of confusion arrives with it. The form looks simple. The mistakes are not, because they ripple into every employee's tax return.

What the P9A actually is

The P9A is the tax deduction card. It is the annual summary, per employee, of earnings, allowances, deductions, and the PAYE remitted to KRA over the year. Your employees use it to file their individual returns. If your figures are wrong, their returns are wrong, and the problem lands back on you.

The fields people get wrong

A few areas cause most of the trouble:

  • Gross pay versus taxable pay. These are not the same once allowable deductions and reliefs are applied.
  • Pension and statutory contributions. Allowable amounts must be captured correctly to avoid overstating taxable income.
  • Personal relief. Applied consistently across the year, not guessed at the end.
  • PAYE totals. Must match what was actually remitted, month by month.
